The Union for Contemporary Art strengthens the cultural and social landscape of our community by using the arts as a vehicle to inspire positive social change. We are currently seeking a passionate and self-motivated individual to provide a broad range of support to our administrative staff.

POSITION Administrative Assistant

Responsible for managing the organization’s reception desk, this team member will be a direct liaison between The Union and the individuals we serve. This position will also provide additional support for The Union’s operations and development staff, as needed, and work closely with the entire team in the development and facilitation of our programs and projects. The ideal candidate is a highly organized individual with excellent phone etiquette and verbal communication skills. The Union seeks to recruit an individual with strong interpersonal skills, a respectful attitude for the work of the organization and the communities we serve, and a demonstrated ability to work effectively as part of a team.

COMMITMENT Part-time, non-exempt position, approximately 20 hours/week. Average schedule will run as follows: Tuesday 12:45pm–6:15pm, Thursday 11:45am–6:15pm, Saturday 9:45am–5:15pm

COMPENSATION $15 per hour, this position is not eligible for benefits.

MINIMUM QUALIFICATIONS

  • Excellent interpersonal, analytical, oral, and written communication skills; the ability to work independently and with teams; and the ability to work effectively with the public
  • Ability to proactively prioritize, manage time, and meet deadlines while juggling multiple duties and tasks
  • An interest in the arts with a basic understanding of various genres and processes is highly preferred
  • Comfortable using Microsoft Office tools and Google Docs

ESSENTIAL JOB RESPONSIBILITIES

  • Manage the front desk and library area of our facility; this includes answering phones, greeting guests, managing the info@u-ca.org communications, and assisting with the check-in of Co-Op Studio members and youth pick-up/drop-off.
  • Have a detailed understanding of The Union’s mission and be able to fully discuss our programs and projects with the greater community.
  • Provide administrative support including importing monthly receipts into Receipt Bank, processing Bill.com invoices, submitting background checks into OneSource, and assisting with organizational mailings.
  • Manage the opening and closing of our facility, monitor security camera activity during business hours, and process all incoming and outgoing mail.
  • Ensure that paper goods and office supplies are stocked and notify Facilities Director with any items that need to be restocked.
  • Track visitor data including zip codes, how visitors heard about The Union, and purpose of visit for development and reporting purposes.
  • Updating programs and events on The Union’s website and/or EventBrite
  • Other duties as assigned.
